Roatre is a sports development and performance improvement platform that enables athletes, coaches, and academies to record, upload, and analyse training media (videos, images, and audio) for performance evaluation and coaching. The App is intended primarily for adults and for use by parents or guardians managing child athletes’ accounts. Minors under 18 may use the platform only under parental or guardian consent. This Privacy Policy explains how Roatre collects, uses, stores, and protects personal data in compliance with Indian law and applicable international standards.

By using Roatre, you agree to the practices outlined in this Privacy Policy.

Interpretation and Definitions

For the purposes of this Policy:

Company / We / Us / Our: Roatre

User / You : Any person who accesses or uses the Roatre App, including parents, guardians, coaches, and academy administrators.

Minor / Child : Any user under 18 years of age.

Personal Data : Any information that relates to an identified or identifiable individual, including videos, audio, and user profile data.

Service : The Roatre mobile application and its associated platforms, dashboards, and APIs.

Parent Account : An account managed by a verified parent or guardian responsible for giving consent and managing a child athlete’s data.

Types of Data We Collect

We collect and process only the data necessary to provide the Roatre service:

Account Information: Name, email address, mobile number (if provided), date of birth or age band, and user role (athlete, coach, parent).

Media & Performance Data: Videos, images, and audio files uploaded for training and analysis.

Parent/Guardian Information: Contact details and verification data required for consent and account management.

Device & Technical Data: Device type, operating system version, app version, IP address, timestamps, crash logs, and unique app instance identifiers

Usage Data: Interaction metrics such as login times, uploads, and feature usage for app improvement.

Roatre does not collect or process health records or government ID numbers. Roatre does not sell or rent personal data to any third party.

Login & Authentication

Users can create accounts via verified email . Authentication is handled through One-Time Password (OTP) verification.

✦ OTPs are used only for identity verification and session validation.

✦ OTP digits are not permanently stored beyond the verification process, except for fraud prevention where required by law.

Parental Consent, Age-Screening & Minors (Under 18)

During account creation, Roatre asks users to declare their age or age band. If a user is under 18 years of age, the following process applies:

A parent or guardian must create and verify a Parent Account before any data related to the child is collected or uploaded.

Coaches or academies may record and upload training content involving minors only through Roatre’s secure platform and only after verified parental consent.

The parent or guardian remains the legal owner and controller of the child’s account and associated data.

Parents may access, review, or request deletion of any data related to their child at any time by contacting inforoatre@gmail.com.

How Consent Is Collected

Parental consent is verified through a secure electronic process:

1. The parent or guardian receives a verification link or One-Time Password (OTP) on the registered email.

2. After verification, the parent logs into the Roatre Parent Account and explicitly confirms consent for the child’s participation.

3. Only after this confirmation is received will the child’s Roatre account be activated and permitted to upload or view performance information.

Consent Method

✦ Verification via email / OTP, followed by explicit consent within the Parent Account.

Parents may withdraw consent at any time, and upon withdrawal the related account and all associated data will be permanently deleted within 30 days.

Children Under 13

Roatre recognises the special need to protect the privacy of children under 13 years of age. Accordingly, the following additional safeguards apply:

✦ No personal data or media is collected, stored, or processed until verifiable parental consent has been obtained.

✦ A verified Parent Account must be active before any recording, upload, or analysis involving the child can take place

✦ All uploads or recordings must occur only through Roatre’s secure platform, and solely for coaching or performance evaluation purposes.

✦ Roatre does not use behavioural advertising, third-party tracking, or profiling for users under 13.

✦ Temporary or unverified accounts created for children under 13 are automatically deleted if consent is not verified within a reasonable period.

✦ Parents may at any time review, correct, or delete their child’s account or related content by contacting inforoatre@gmail.com

Upon withdrawal of consent, all associated data is permanently deleted within 30 days, and the child’s account access is deactivated.

How We Use Data

Roatre processes collected data only to provide and improve the platform. Uses include:

✦ Providing access to core features (recording, uploads, performance dashboards).

✦ Analysing athlete performance and generating progress reports.

✦ Managing account settings, security, and support communication.

✦ Sending service-related notifications and updates.

✦ Monitoring and improving system functionality and safety.

Roatre does not use collected data for advertising or unrelated marketing purposes.

Where Data Is Stored & Transferred

✦ All data is securely stored on Google Cloud Platform (GCP)

✦ For Indian users, the primary storage region is Mumbai, India (asia-south1).

✦ If any backup or processing occurs outside India, it is protected through encryption in transit (TLS), encryption at rest (AES-256), and strict access controls.

Data Sharing

Roatre may share data only under the following controlled circumstances:

✦ Service Providers: For cloud hosting, secure storage, and analytics processing (all bound by confidentiality agreements).

✦ Authorised Coaches/Academies: Who are connected to verified parent accounts for training purposes only.

✦ Legal Requirements: When required by law, regulation, or judicial order.

Roatre does not sell, lease, or trade user information to any third party.

Data Retention and Deletion

Roatre retains user data only for as long as needed to provide the service or comply with legal obligations.

✦ When a user or parent requests deletion, all personal and media data are permanently deleted or anonymised within 30 days.

✦ Backups containing deleted data are purged during the next scheduled maintenance cycle.

Third-Party Services

✦ Roatre uses Google Cloud Platform (GCP) for secure hosting and data storage.

✦ These cloud services process data only on behalf of Roatre and cannot use it for their own purposes.

✦ Roatre does not use advertising SDKs, marketing trackers, or third-party tools that collect personal data.

Security Measures

Roatre uses industry-standard security practices to protect personal data:

✦ All data is transmitted over secure HTTPS (TLS).

✦ All stored data is encrypted at rest using Google Cloud’s default encryption.

✦ Data is hosted on Google Cloud Platform with built-in security and access controls.

✦ Access to user data is limited to authorised personnel only and only when required to operate the service.

✦ Roatre’s backend may automatically generate server error logs (e.g., PHP logs) when technical issues occur. These logs may include device information, request details, and error diagnostics, but do not contain user account data, personal information, or media files. These logs are used solely for troubleshooting, improving system stability, and ensuring service reliability, in compliance with Google Play Developer Policies.

User Rights and Controls

You have the right to:

✦ Access or request a copy of your data

✦ Correct inaccurate information

✦ Withdraw consent or request deletion

✦ Export your account data in a readable format

Parents or guardians of minors can exercise these rights on behalf of their children. All verified requests are processed within 30 days via inforoatre@gmail.com.

Legal Basis & Compliance

For Indian users, Roatre operates as a Data Fiduciary under the Digital Personal Data Protection Act, 2023 (DPDP Act).

Data is processed on the following bases:

✦ Legal Obligation: For record-keeping and compliance requirements
